1. Information We Collect

VouchCord collects and stores the minimum amount of data necessary to provide the service. This includes:

Discord Data

• User IDs — to identify vouch authors and recipients
• Usernames — to display user information in vouches and the dashboard
• Guild (server) IDs — to associate configuration and vouch data with the correct server

Vouch Content

• Ratings — numerical scores submitted as part of a vouch
• Comments — text content of vouch testimonials
• Images — any images attached to vouches
• Timestamps — when vouches were created or modified

Dashboard Data

• Session tokens — temporary authentication data used for dashboard login via Discord OAuth2
• Access permissions — which servers you have permission to manage

2. How We Use Information

The data we collect is used exclusively to provide and improve the VouchCord service:

• Displaying and managing vouches within Discord servers
• Powering the web dashboard for server administrators
• Processing and storing vouch data per guild
• Authenticating users for dashboard access
• Maintaining server-specific settings and configurations

3. Data Storage

All data is stored in server-side databases. Vouch data is organized per guild (server) and is only accessible by authorized server administrators through the dashboard or bot commands.

We implement reasonable security measures to protect stored data from unauthorized access, alteration, or destruction.

4. Third-Party Services

VouchCord integrates with the following third-party services:

• Discord API — for bot functionality, user authentication, and retrieving server information. Subject to Discord's Privacy Policy.
• Stripe — for processing premium key payments. Payment information is handled entirely by Stripe and is never stored on our servers. Subject to Stripe's Privacy Policy.

5. Data Retention

Data is retained for as long as the service is actively used:

• Vouch data is stored until explicitly deleted by a server administrator through the dashboard or bot commands
• Guild configuration is retained until the bot is removed from the server
• When the bot is removed from a server, associated data may be deleted after a reasonable retention period
• Dashboard session data expires automatically after a set period of inactivity

6. User Rights

You have the right to request access to or deletion of your personal data stored by VouchCord. You can exercise these rights by:

• Using the dashboard to view and manage your data
• Using bot commands to delete vouches you have authored
• Opening a ticket in our Discord support server to request full data deletion

We will respond to data requests within a reasonable timeframe.

7. Security

We take reasonable measures to protect your data, including encryption of data in transit, secure authentication mechanisms, and regular security reviews. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Children's Privacy

VouchCord is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will take steps to delete that information promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of VouchCord after changes are posted constitutes acceptance of the revised policy.
